Office Administrator – Temp (Mat Leave)

We are seeking a highly organized, proactive and efficient Office Administrator to join our national office in Toronto as a one-year maternity leave replacement from Sept. 5th, 2023 to Oct. 31st, 2024. We believe that the Office Administrator is the backbone of a strong team, enabling the staff to achieve their goals by ensuring that they are set up to succeed.

The Office Administrator is responsible for supporting operations including outreach, events, fundraising and finance. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative and organizational skills, and the ability to maintain a balance among competing priorities. Our new hire will thrive in an entrepreneurial environment and excel in bringing order to a busy and high energy office. The Office Administrator reports to the Deputy Executive Director.

CJPAC is a national, independent, not-for-profit multi-partisan organization. For over thirteen years, CJPAC has worked to engage Jewish and pro-Israel Canadians in the democratic process and to foster active political participation. CJPAC’s unique programs and events inspire Canadians with all levels of political experience – whether new, curious, or already engaged – to become more active in the democratic process.

Responsibilities include (but are not limited to):

  • Maintaining an orderly office environment & managing the flow of guests and guest hospitality
  • Coordinating the organizational calendar
  • Responding to phone/email inquiries
  • Ordering of office supplies; arranging catering and event space as needed
  • Act as liaison for IT and equipment vendors and ensure these items are working properly and maintained
  • Tracking and communicating with office volunteers
  • Keep list of volunteers for office-related tasks; ensure those volunteers are engaged
  • Updating our CRM database and maintaining accurate and up-to-date lists of constituents, politicians, program participants etc. and ensuring subscribes and unsubscribes are processed
  • Mailing and organizing cheques and invoices; making bank deposits as needed
  • Administration and support of events such as booking space, dealing with vendors, creating lists and tracking RSVPs; tracking speaker invitations and speaker gifts
  • Compilation of binders or handouts for events and meetings
  • Managing applications, including collecting forms and scheduling interviews, for various programs
  • Booking travel and accommodations as needed for conferences and meetings
  • Coordinating mailings and creating accurate mail merges, labels, name tags and other items as needed
  • Working cooperatively with the Executive Assistant to the Executive Director to ensure administrative needs of the organization are covered

Experience & Skills:

  • At least 5 years of experience in an administrative role
  • Ability to multi-task and manage multiple deadlines
  • Proficient in Microsoft Office, specifically Outlook, Word, Excel and SharePoint
  • Capacity to quickly learn to use new software and technology
  • Some experience with CRMs, especially Salesforce. Knowledge of Salesforce is an asset.
  • Some knowledge of and experience with the Jewish community and/or Canadian politics
  • Proficiency in French is an asset

At our national headquarters in Toronto, we recently returned to in-office and in-community work with a structured hybrid model. The Office Administrator will be required to work in the Toronto office 4 days a week and will work from home on Fridays.

The salary range for this position is $50,000-$55,000 plus benefits.
